GW Event Support

The Division of Operations is committed to providing quality event support services to the GW community.  In an effort to do so, it is important that you have a clear understanding of the services that the Event Support Team is available to provide the following services: set-up, take-down and storage of university-owned event equipment (e.g., tables, chairs, podiums, easels and other light equipment), dress and remove university-provided table linen, inventory management of university-supplied paper-tops, skirting, tables and chairs. Please keep in mind that allowing for as much advance notice as possible creates the best scenario for event support to be prioritized in the most efficient manner.

The event support team does not provide the following services:

  • Housekeeping (before, during or after an event)
  • Event planning or coordination (e.g., venue reservation, vendor or caterer selection and interaction, furniture layout design, conduct client meetings on behalf of the university, sign documents on behalf of the university, establish vendor/caterer meeting schedules, provide 'on-site' management or supervision for events, etc.)
  • Ordering, managing delivery, pickup, setup, breakdown and storage of vendor related items
  • Inventory management of vendor supplied linen
  • Grant access to or secure event spaces

Most campus event space locations have designated event planners who will assist you with scheduling, planning an event and completion of Facilities Services Event Support Request Form. Event space locations with event planners, along with their contact information, are listed in the column to the right.  Please contact the appropriate event planner to schedule events in these locations.

If you would like to schedule an event in a building or space that does not have an assigned event planner (main campus classrooms, GW Libraries, Science and Engineering Hall, and Virginia Science and Technology Campus), see contact information for these buildings located in the left column and follow the following guidelines. 

Staff Events:

  1. Reserve event space via the appropriate event planner.
  2. Confirm reservation of GW Event Space.
  3. No later than 72 business hours before your event (3 days), request departmental FixIt Power User to create a chargeable FixIt request with a service area of “EVENT SUPPORT” and upload the completed Facilities Services Event Support Request Form. The FixIt system will not accept requests within the 72 hour period prior to the event.
  4. Catering, AV equipment, or additional furniture requirements should be requested through the appropriate event resources listed below

Student Organizational Events:

  1. Reserve event space via the appropriate event planner.
  2. Confirm reservation of GW Event Space.
  3. No later than 72 business hours before your event (3 business days), request student advisor to create a chargeable FixIt request with a service area of “EVENT STUDENT”. Although it is listed as a chargeable request, fees will not be charged when a service area of “EVENT STUDENT” is selected.  If your student advisor is not a FixIt Power User, they can become one by completing the FixIt Power User form.  The FixIt system will not accept requests within the 72 hour period prior to the event.
  4. Complete Facilities Services Event Support Request Form.  
  5. Catering, AV equipment, or additional furniture requirements should be requested through the appropriate event resources listed below.
