RESIDENCE HALL KEY POLICIES & CHARGES

RPM is responsible for the management of keys for students residing in university residence halls. RPM also provides a loaner key program, lock change requests, let-in service for room lock-outs, replacement mailbox keys and combinations and repair of broken locks.  
 

RESIDENCE HALL KEY POLICIES & CHARGES


Residential Property Management (RPM) is responsible for all residence hall related keys and provides key related services to residential students through the RPM Key Depots serving the Foggy Bottom and Mount Vernon Campuses.

 

Key Depot Locations:

Foggy Bottom Campus: New Hall Lobby

Mount Vernon Campus: Somers Hall Lobby

 

Key Depot Hours:

8:30 AM and 11:00 PM, 7 days per week 

 

Key Depot Services:

  • Loaner Keys
  • Lock Changes for stolen or permanently lost keys
  • Let-in Service for room lockouts
  • Replacement mailbox keys and combination changes
  • Keycard re-magnetization (Aston, City Hall, HOVA)
  • Broken lock repairs

University Residence Hall Key Policy

 

Stolen or Permanently Lost Room Key:

It is GW’s policy to change suite entrance locks whenever a key is stolen or permanently lost.  If the key has been stolen, the student should file a theft report with UPD.  By doing so, the student will avoid the charge for a lock change.

 

Note: It is assumed that a key has been permanently lost whenever a temporary loaner key is not returned within 24 hours from the time of issuance.  The lock will be changed and the student will be charged, unless the student has filed a theft report with UPD.

ID Required:

Students and staff must present their GWorld Card or their GWid number with a valid picture ID to obtain any key or mailbox combination at a Key Depot.

 

I. LOST KEYS/LOCK OUTS

 

1. Your key was stolen.

    File a theft report with UPD and call RPM Call Center at 202-994-  
    0381 to report that you lost your key with your ID.  The lock to your
    room will be changed within the next 24 – 36 business hours. 

 

Lock Change Procedures:

Go to your campus Key Depot to obtain a temporary loaner key. (Students must show their current GWorld card or provide their GWID number along with a current photo ID). If it is after Key Depot hours call the RPM Call Center at 202-994-0381 to have a UPD officer meet you in the lobby of your residence hall to unlock your door. Student identification is verified by UPD before entry is provided.  No loaner keys or key cards can be issued during these hours. Please visit the Key Depot the following day for a loaner key or key card.

 

When a Lock Change is scheduled, each room resident will receive an email notification in advance that the lock will be changed within the next 24 hours. After the lock has been changed, each room resident can go to the appropriate campus Key Depot to pick up the new key (GWorld card or GWID with a picture ID required).  Roommates will not be charged for the new key unless they fail to turn in their old key(s).

 

            Charges:        $0 for loaner key (first 24 hours)
                                     $20 for UPD visit for let-in (cannot be waived) 

                                     $0 for Lock Change if theft report is filed with 
                                     UPD, otherwise, $80 fee will be charged

                                      $10 charge to roommates for new key if old key is 
                                      not returned to exchange

 

2. You lost your key or you locked your key in your room (key
     card for Aston, City Hall or HOVA.)

During Key Depot Hours:

OPTION 1: Visit your campus Key Depot to obtain a temporary loaner key. (GWorld Card or GWID with a current picture ID is required). 

 

            Charges:        $0 for loaner key (first 24 hours) 
                                     $80 for Lock Change if loaner key is not returned 
                                     within 24 hours.

OPTION 2: Call the RPM Call Center at 202-994-0381 to have a Key Specialist meet you in the lobby of your residence hall to bring a loaner key or to unlock your door. GWorld Card or GWID with a picture ID is required.

 

            Charges:         $0 for loaner key (first 24 hours) 
                                      $20 for Key Specialist visit*
                                      $80 for Lock Change if loaner key is not returned 
                                      within 24  hours
                                      $10 charge to roommates for new key if old key is 
                                      not returned to exchange


*This $20 fee will be waived for students who are registered with Disability Support Services as physically handicapped.

 

Outside Key Depot Hours (11:00 PM - 8:30 AM Daily):

Call the RPM Call Center at 202-994-0381 to have a UPD officer meet you in the lobby of your residence hall to unlock your door. Student identification is verified by UPD before entry is provided.  No loaner keys or key cards can be issued during these hours. Please visit the Key Depot the following day for a loaner key or key card.

 

         Charge:                $20 for UPD visit for let-in (cannot be waived)

 

II. LOCKS AND/OR KEYS DO NOT WORK


1. Your lock or key does not work.

     Daily 24/7: Call the RPM Call Center at 202-994-0381 to have 
     someone meet you in your residence hall to unlock your door.     
    
GWorld Card or GWID with a picture ID is required.  If the lock is   
     broken,  it will be replaced at no charge to the residents. For Lock

           Charge:                 $0 charge to repair malfunctioning locks or keys, 
                                           or for let-in due to malfunctioning lock or key.

2. You live in City Hall or HOVA, and your key card has been 
    demagnetized.

During Key Depot Hours:

Call the RPM Call Center at 202-994-0381 to have a Key Specialist meet you in the lobby of your residence hall and re-magnetize your key card. GWorld card or GWID with a picture ID is required.

Charge:                 $0 for Key Specialist visit and re-magnetization 
                                of key card.

After Key Depot Hours (11:00 PM - 8:30 AM Daily):

Call the RPM Call Center at 202-994-0381 to have a UPD officer meet you in the lobby of your residence hall and unlock your door. GWorld Card or GWID with a picture ID is required. You also must show your de-magnetized key card to the officer. No key cards can be re-magnetized during these hours. Please visit the Foggy Bottom Key Depot the following day to have your key card re-magnetized.

           Charge:                          $0 for UPD let-in.

 

III. MAILBOX ISSUES


1. You lost your mailbox key


During Key Depot Hours:

Visit your campus Key Depot to obtain a replacement mailbox key. GWorld Card or GWID with a picture ID is required.

Charge:                     $10 for each replacement key

2. You‘ve forgotten your mailbox combination.


During Key Depot Hours:

Visit your campus Key Depot to obtain your combination. GWorld card or GWID with a picture ID is required.

Charge:                        $0

3. Your mailbox lock or door is broken.

  • If your mailbox door cannot be secured, submit a FIXit request for repair service.
  • If you cannot open your mailbox because the lock is broken, submit a FIXit request for repair service.
  • Then visit GW Mail services at the Support Building, 2025 F Street, NW, L101 to complete  the appropriate form to request that your mail be held for your pick-up until the necessary repair(s) have been made to your mailbox.
